Five processes your business can automate with n8n
If someone on your team copies data from one system to another every day, there is an automation waiting to happen. These are the processes we usually start with.
What n8n is and why we use it
n8n is a tool for connecting apps and automating workflows. It works with visual building blocks but lets you add code when needed, and it can be self-hosted so you keep control of your data.
That makes it practical for small and mid-sized businesses: you start with a simple workflow and grow without switching platforms.
1. Forms that land in the right place on their own
Every request submitted on your website can be saved to your CRM or a spreadsheet, notify the right person and send the customer a confirmation, without anyone copying anything by hand.
2. Sorting emails and requests with AI
An AI model can read each message, tell whether it is a sale, a support question or an invoice, and route it to the right person. A human still makes the final call on unclear cases.
3. Invoices and documents
Receiving an invoice by email, extracting its data, filing it in the right folder and recording it in your accounting system is a classic workflow. It saves time and cuts typing errors.
4. Reminders and follow-ups
Appointments, overdue payments, renewals or unanswered quotes: a workflow can check every day what is due and send the reminder by email or message at the right moment.
5. Reports that build themselves
Instead of pulling data from several systems every Monday, a workflow can generate the summary and send it by email or to a team channel.
How to choose where to start
Before automating, answer three questions:
- Does it happen often and always follow the same steps?
- Does a mistake in this process cost money, time or customers?
- Can the systems involved be connected (API, email, webhooks)?
If the answer to all three is yes, it is a good candidate. We recommend starting with a single workflow, seeing how it performs and growing from there.
What a good automation always includes
A well-built automation stores credentials securely, alerts you when something fails, keeps a log of what it did and is documented so your team does not depend on a single person.
